Feature Release: Bulk email backups

Transit Chat’s Mailbox Email Backup supports batch forwarding directly from Outlook — just follow these steps to send multiple emails (threads, complaints, photos, and files) to your shared agencies inbox.
All of this can be done with the simple forward or cc to inbox@transit.chat
🔁 Forwarding Multiple Emails as Attachments (Desktop Outlook)
- Open Outlook (Desktop app)
Make sure you're in your inbox or the folder containing the emails you want to back up. - Select Multiple Emails
- Hold
Ctrl
(Windows) orCmd
(Mac) and click each email you want to include. - Alternatively, hold
Shift
to select a range.
- Hold
- A new message window will open
- In the To field, enter your Transit Chat address — e.g.,
inbox@transit.chat
- Optionally, add a Subject line that gives context like “Safety Reports – July”
- You’ll see
.eml
attachments representing each selected message.
- In the To field, enter your Transit Chat address — e.g.,
- Click Send
That’s it! Transit Chat will receive, parse, and group the emails into searchable conversations with all metadata and attachments intact.
Right-click one of the selected emails
Choose Forward as Attachment
⚠️ Do not choose plain “Forward.” You must choose “Forward as Attachment” to preserve all metadata.
💡 Tips for Better Organization
- Use folders or categories in Outlook to group emails by project, route, or complaint type — then forward those batches weekly.
- Include a short subject line when forwarding to help orient your team (e.g., “Stop Removal Complaints – Route 12”)
- Use a Transit Chat tag or topic in the body to help auto-sort later (coming soon).
